DDOAJ Metadata Studio

Bulk upload articles to DOAJ from Excel and CSV

Updated:

An issue’s metadata often already lives in a spreadsheet — for the website, indexing services or the printer. Instead of building XML you can upload it to DOAJ straight from Excel, via the DOAJ API and DOAJ Metadata Studio. You need a publisher API key and ten minutes.

Step 1. Download the template

Open the “Bulk operations” tab and click “Download CSV template”. The template has one sample row and all the columns:

ColumnWhat to enter
titleArticle title — required
abstractAbstract
year, monthPublication year (4 digits) and month (1–12)
volume, numberVolume and issue
start_page, end_pageFirst and last page
doiDOI without a prefix, e.g. 10.18469/1810-3189.2024.27.1.7-15 (a https://doi.org/… link is cleaned up automatically)
pissn, eissnJournal ISSNs as in its DOAJ record, both if it has two. At least one is required
fulltext_urlFull-text link — required
fulltext_typehtml or pdf
keywordsKeywords separated by semicolons; DOAJ keeps up to 6
authorsAuthors — one per line inside the cell (Alt+Enter in Excel) or separated by “;”. Each author: full name | affiliation | ORCID
idDOAJ article ID — only when correcting an article that is already uploaded

Example authors cell

Jane Smith | University of Oxford | 0000-0002-1825-0097
John Doe | Institute of Radio Engineering

You can enter an ORCID as a bare number — the app turns it into the https://orcid.org/… URL that DOAJ expects and checks the check digit.

Step 2. Save as “CSV UTF-8”

Important for non-Latin text. Excel’s plain “CSV” option saves in your system’s legacy encoding, which garbles accented and non-Latin characters. Choose “CSV UTF-8 (Comma delimited)”.

The app detects the delimiter (semicolon, comma or tab) automatically.

Step 3. Validate before sending

On the “Bulk operations” tab switch to “CSV / Excel”, choose the file and click “Parse and validate”. The app shows a table of articles with issues for each one:

Fix the errors in Excel and load the file again — or tick “skip records with errors” to send only the valid articles.

Step 4. Send to DOAJ

Enter your API key on the “Settings” tab and click “Send to DOAJ”. The app splits the articles into batches of about 600 KB — the size DOAJ recommends — and sends them one after another. Each batch gets an upload_id; the “Upload status” block shows how DOAJ processed it.

Download the template and validate your file — nothing is sent to DOAJ without your confirmation.

Fixing uploaded articles through Excel

  1. On the “Export & audit” tab load the journal’s articles by ISSN and click “CSV” — you get a sheet in the same format as the template.
  2. Fix the data in Excel. Do not change the DOI or the full-text link: DOAJ uses them to recognise an existing article and overwrite it. Change both and DOAJ creates a new record, leaving the old one as a duplicate.
  3. Save as “CSV UTF-8” and upload it on the “Bulk operations” tab.
